The Expense Administration Supervisor is responsible for providing leadership, mentoring and training to their direct reports while overseeing daily operations and managing the allocation of work and the review and administration of invoices, forecasts, accrual calculations, reporting and daily requests from internal colleagues and client

The Supervisor will report directly to the Expense Administration Team Leader or Manager and will report regularly on the allocation of work, the control environment, process improvements, opportunities for improvement, and the challenges and successes of each current Expense Administration team member.

Key Responsibilities

  • Field and respond to client inquiries and escalated issues and serve as a key point person for client contacts.
  • Manage and resolve incidents by having the capability to efficiently analyze all aspects of Expense Production and Analysis while ensuring escalation of issues based on set tolerances.
  • Coordinate and follow up on client meetings and deliverables.
  • Work closely with internal departments to ensure timely resolution of client inquiries and proactively aid in the resolution of client issues.
  • As part of the oversight and control responsibilities, oversee the accuracy and timeliness of delivery through analysis and review of outsourced activities.
  • Reviews all fund level and expense account level budgets for completeness, reasonableness and accuracy on a periodic basis
  • Oversee any changes to expense structures for assigned accounts as changes go into effect such as product launches, mergers, liquidations or other client directed changes
  • Train and develops Expense Administration Representatives and Seniors as needed and provide staff with support and coverage as necessary
  • Assist team members with problem solving and issue resolution; Utilizes best judgment to escalate issues to senior managers as appropriate
  • Maintain a working familiarity with applicable accounting and financial reporting rules and regulations as relates to all products and expense structures for which the team may have responsibility
  • Communicate appropriately with the Expense Administration Team Leader or Manager with respect to all timetables and workflow and communicates to the extent appropriate all relevant matters with other team members
  • Continually reassesses, develops, and implements processes to increase efficiency within the team, while maintaining the highest standards of analysis and levels of output
     

Qualifications

Education level and/ or experience

  • BS/BA degree.
  • 5+ years of related industry experience.
  • Knowledge and Skills
    • Prior supervisory experience or demonstrated success at a Senior Representative Position Experience in financial product accounting, financial product reporting, or basic accounting and analysis preferred
    • Highly organized and detail oriented
    • Strong desire to manage others and a willingness to provide the necessary support and leadership for their development
    • Self-motivated, capable of monitoring and completing a variety of projects simultaneously
    • Strong verbal and written communication skills.
    • Strong interpersonal skills
    • Proven ability to work well in a deadline oriented, client-driven environment
    • Be highly engaged in the team’s collective work to foster a highly collaborative team environment
    • Advanced knowledge of mutual fund products, multi-class accounting, and the components of an NAV
    • Proactively anticipate client needs and respond effectively to client inquiries
    • Effectively communicate findings to clients and to colleagues verbally or written as required
    • Consistently meet the demands of daily responsibilities, assigned work, and the mentoring, training and guidance needs of the team
    • Complete and oversee the completion of the BBH annual performance review process for assigned direct reports
    • Maintain a leadership role by developing internal relationships with key people in other departments to accomplish goals and resolve issues
    • Provide ongoing feedback and coaching to staff to improve individual and team performance.
    • Participate in the recruiting and hiring process for new staff members
