Description:
The Sales Support Coordinator will provide comprehensive administrative, sales, marketing, and technical support to the commercial team. This role is key to ensuring the smooth day-to-day operation of sales activities, customer service, pricing administration, and marketing initiatives, while supporting Regional Sales Managers and key accounts.
Key Responsibilities
Administration & Operations
- Process daily invoicing, with a particular focus on key accounts and distributor pricing.
- Record, monitor, and maintain special pricing agreements.
- Issue credit and debit notes as required.
- Provide administrative support to Regional Sales Managers, including meeting preparation and weekly sales updates.
- Prepare and process quotations for sales managers and key accounts.
- Liaise directly with customers to resolve queries and provide updates as needed.
- Monitor tender portals (ROI & NI), prepare documentation, and manage tender submissions.
- Assist with the preparation of monthly management reports and board papers.
- Monitor commodity pricing, calculate fixed pricing, and maintain updated price lists.
- Liaise with suppliers regarding additional or new product lines.
- Manage customer enquiries, order input, and follow up on delivery timelines.
- Raise invoices through customer portals and input payments on internal systems when required.
Marketing Support
- Support marketing activities and campaigns across the lubricants business.
- Maintain and update the company website, including product data sheets, imagery, and content.
- Assist with point-of-sale materials, promotions, and competitions.
- Liaise with designers and external agencies to develop marketing collateral.
- Provide customer support for the online ordering platform, including account setup and system administration.
- Manage the shared sales support inbox and respond to queries efficiently.
Technical & Compliance Support
- Maintain and update product data sheets for internal and external use.
- Liaise with suppliers to ensure compliance with relevant regulatory and industry standards.
- Assist with product labelling updates and respond to technical customer queries.
- Organise and support supplier training sessions for internal teams and customers.
Key Skills & Competencies
- Strong administrative and organisational skills with excellent attention to detail.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint); experience with CRM or ERP systems is desirable.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong verbal and written communication skills.
- Numerical and analytical capability, particularly in pricing and tender preparation.
- Creative mindset with an interest in marketing support and content coordination.
Qualifications & Experience
- Minimum of 2 years’ experience in a sales support, administration, or marketing coordination role.
- Experience in FMCG, lubricants, or industrial sectors is advantageous.
- Exposure to tender preparation and supplier liaison is desirable.
- Understanding of pricing structures, invoicing, and order processing is beneficial.
